Are you an organised and proactive Facilities professional with a strong understanding of compliance and health & safety? We are seeking a Facilities & Compliance Administrator to join a renowned Facilities and Maintenance company, delivering exceptional service and operational excellence.
A head office-based administrative role supporting the company’s Quality, Compliance, and Integrated Management Systems. The successful candidate will work closely with engineers, contractors, and management to ensure documentation, policies, procedures, and compliance systems are maintained to a high standard.
Key Responsibilities
* Support the company’s compliance activities across the business. * Maintain contractor compliance records and contractor approval schemes. * Ensure construction industry portals and compliance platforms are kept accurate and up to date. * Coordinate and support compliance audits. * Assist in preparing documentation for internal and external audits. * Work closely with engineers and operational teams to ensure compliance requirements are met. Quality * Maintain the Quality Management System (QMS). * Update and control company policies, procedures, and documentation. * Manage document control processes, ensuring all controlled documents remain current. * Support continuous improvement initiatives across the business. * Attend and assist during quality and compliance audits. Knowledge & Experience Essential * Previous administrative experience within a quality, compliance, or health & safety environment. * Good understanding of document control and management systems. * Knowledge of ISO 9001 (Quality Management Systems). * Strong organisational and administrative skills. * Confident communicator who can liaise effectively with engineers, contractors, and management. * Assertive and proactive approach with the confidence to challenge where necessary. * High attention to detail.
Desirable
* Knowledge of ISO 45001 (Occupational Health & Safety Management Systems). * Awareness of ISO 45003 (Psychological Health, Safety and Wellbeing at Work). Experience is desirable but not expected, as it is a relatively new standard. * Understanding of ISO 14001 (Environmental Management Systems). * Experience working with an Integrated Management System (IMS) combining Quality, Health & Safety, and Environmental standards. * Experience supporting or participating in internal and external audits. Personal Attributes * Highly organised with excellent attention to detail. * Strong administrative and document management skills. * Confident working across multiple departments. * Able to build positive relationships with engineers, contractors, and office staff. * Professional, resilient, and comfortable working in a compliance-focused environment.
